At Excelia Learning Hub, we are fully committed to safeguarding the welfare of all children and young people who engage with our tutoring services. We believe that every learner has the right to learn in a safe, supportive, and respectful environment — both online and in person.

1. Our Commitment

Excelia Learning Hub takes its safeguarding responsibilities seriously and ensures that all staff and tutors adhere to the highest standards of professional conduct. We follow the principles set out in:

2. Scope

This policy applies to all tutors, staff, contractors, and volunteers working with or representing Excelia Learning Hub. It covers all forms of tutoring — online and in-person — as well as any communication with students and parents/guardians.

3. Safeguarding Principles

Our safeguarding principles are based on the belief that:

  • All children and young people have an equal right to protection from harm, abuse, and neglect.
  • The welfare of the child is always the paramount concern.
  • All staff and tutors have a duty of care to identify and report any concerns regarding a child’s wellbeing or safety.
  • Students are treated with respect and dignity at all times.

4. Safer Recruitment & DBS Checks

All Excelia Learning Hub tutors undergo appropriate vetting, including:

  • Enhanced Disclosure and Barring Service (DBS) checks.
  • Verification of identity and qualifications.
  • Reference checks to confirm professional suitability and experience.

5. Online Safety

Online tutoring sessions are conducted using secure, approved platforms. We promote responsible and safe online learning by ensuring that:

  • Sessions are delivered in secure, password-protected virtual classrooms.
  • Students should attend sessions from a quiet, safe space under parental awareness or supervision.
  • Recording or sharing sessions without permission is strictly prohibited.
  • Communication between tutors and students is always professional and monitored where appropriate.

6. Recognising and Reporting Concerns

All tutors are trained to identify signs of potential abuse or neglect and know how to respond appropriately. Any safeguarding concern will be reported immediately to the Designated Safeguarding Lead (DSL) for Excelia Learning Hub.

7. Whistleblowing

Excelia Learning Hub supports an open and transparent culture where staff and tutors can raise concerns about the welfare or conduct of others. Any concerns will be treated seriously and handled confidentially, without fear of reprisal.

8. Parental Involvement

We encourage parents and guardians to be actively involved in their child’s learning journey. For online sessions, we recommend that parents ensure a safe environment and periodically check in during lessons.

9. Data Protection & Confidentiality

All personal information relating to students and families is kept strictly confidential and handled in accordance with the Privacy Policy. Information is shared only when necessary to safeguard a child or comply with legal obligations.

10. Policy Review

This policy is reviewed annually, or sooner if required by changes in legislation or best practice guidance. The latest version will always be available on our website.
